Company Headshots: A Guide for Whoever's Organising It
Someone always gets handed this job with no instructions. Here's the checklist so it goes smoothly the first time.

1. Decide studio or on-site
A hired studio gives consistent lighting and backdrop for every person — the safest choice for a polished, uniform set. On-site at your office works if the brand wants recognisable surroundings, but lighting will vary more between individuals shot at different times of day. I don't own a studio. I hire good ones — six across London and Kent — so you can pick the nearest, and the price stays sensible.

2. Book one session, not several
Get the whole team into a single day at a single location. It's cheaper per person, faster to deliver as one consistent set, and you only have one date to chase people about.

3. Set a wardrobe brief in advance
Send everyone the same guidance: solid colours, no busy patterns or big logos, and — if brand colour matters — a note on what to avoid or lean into. Consistency comes from the brief, not from correcting it on the day.

4. Build a running order
Give each person a slot rather than a vague window. A team headshot session moves fast per person, but people arriving in a scrum at the same time is what causes delays and rushed shots.

5. Confirm usage upfront
Decide where the images are going — LinkedIn, the website, press — before the shoot, so crop and framing can be chosen to suit all of them rather than reshot later.

6. Agree delivery format
One named contact receiving the full set and distributing it is faster than each employee being sent their own separately. Ask for this when you book.
